Almost every argument in this industry is a disagreement about what was agreed. A contract is not there to be enforced in court, it is there so the conversation never happens. This is the clause-by-clause structure of an agreement that protects both sides on a date that cannot be moved.

What yours needs to cover
- ✓ A scope clause that states what you are doing and, just as importantly, what you are not
- ✓ The fee, the payment schedule, and the date each instalment falls due
- ✓ A cancellation clause with a sliding scale, because a booking canceled ten days out costs you a date you can no longer sell
- ✓ A postponement clause, which is a different thing from cancellation and needs its own wording
- ✓ Who contracts the suppliers, you or the client, and who is liable when one of them fails
- ✓ A change-of-scope clause that prices additions rather than absorbing them
How to use it
- Fix the scope wording first. Every other clause depends on what the job actually is.
- Set the payment schedule so money arrives before the work does, not after it.
- Write the cancellation scale as dates and percentages, never as "reasonable costs".
- Have somebody qualified in your jurisdiction read it once before you send it to a client.
Event Planner Contract Template FAQs
Do I need a contract for a small event?
Yes, and small events are where planners skip it most. The size of the event has nothing to do with the size of the disagreement, and a party for forty guests can still involve a canceled venue and a deposit somebody wants back.
What happens if the client postpones?
That depends entirely on whether you wrote a postponement clause. Without one, a postponement is usually argued as a cancellation, and neither side agrees which. With one, the new date, the fee treatment and the deadline for choosing it are all already settled.
Can I write my own contract?
You can draft it, and this page is the structure to draft from. Have somebody qualified in your jurisdiction review it once, because the clauses that matter most (liability and cancellation) are the ones local law is most likely to have an opinion about.
